A complete overview of the GolfCoachOS platform — what it does, who it's for, and how it helps you deliver a connected coaching experience. Watch this first before anything else.
Step-by-step guide to completing your coach profile — photo, bio, credentials, specialties, and booking link so players and families can find and connect with you.
A walkthrough of the Coach Dashboard — roster, today's sessions, priorities, messages, and how everything connects together.
Three ways to add players — invite a family by email, share your affiliate / signup link, or paste a roster from Sheets/Excel when you already have a client list.
Paste client rows from Google Sheets or Excel into GolfCoachOS using a fixed column header. Best for academies onboarding an existing client list without retyping each player.
Understand the shared player dashboard — development stage, development domains, lesson history, practice, and how coaches and families stay aligned on one record.
A walkthrough of player intake — what families complete, how the data feeds development context, and how Quick Start gets a new athlete onto your roster fast.
Put a one-to-one lesson on the calendar. It stays linked to that player.
Click a one-to-one lesson to work from that player’s record, not a bare booking card.
Switch how you see the wall. Academies with more than one coach can watch the whole house.
Drag a one-to-one lesson or a blocked hold to a new time on Day or Week view. Group lessons stay put — move those from the session roster.
Hold hours so families cannot book them — a year of Tuesday–Saturday lunch, or Sunday and Monday off.
Clear one day, a matching series (every lunch this year), or only those hours inside a date range.
Clear repeating lunch in a from–to window, move group lessons to another coach, then block every day you are away. One-to-one lessons are not cancelled for you.
Click a clinic on the wall to see the roster, move that session to another coach, or manage drop-ins. Create programs under Group Lessons.
Just Talk is the fastest way to turn a lesson into a useful player-development record. You don't need to fill out a lesson form while you're coaching. Select the player, press Just Talk, and describe the lesson naturally.
Turn the lesson into directed practice — add homework from talk or the library, set dosage, and give a simple success measure.
Create a clear development plan with objectives, priorities, and notes so every lesson advances a documented pathway.
Keep plans living — track progress session to session and adjust when competition, physical growth, or practice quality changes the picture.
Add a round from a phone photo of the scorecard — AI fills the hole grid for review. Works from a phone camera; desktop screenshots are not required.
How GolfCoachOS surfaces what deserves attention — roster briefings and today priorities that inform judgment without replacing the coach.
How roster-level insights help you see stage mix, development priorities, and patterns across your coaching environment.
Attach swing or session video to the player record — keep media with the same longitudinal history as notes and plans.
Organise coaching media and library resources so drills and reference clips are easy to reuse across players.
Update photo, bio, schedule timezone, and account preferences so your coaching workspace stays accurate.
Understand coach plans, Partner Program commissions, lesson deposits, and where to track revenue in My Business.
Record deposits and track open cash balances for coaching that is not sold as a packaged credit product. For sellable lesson packages with external payment links, see Help → Lesson Packages.
Sell lesson packages using your own payment provider. GolfCoachOS tracks packages and lesson credits; Stripe, Square, PayPal or your facility checkout handles the money.
Build a package from Schedule → Packages with credits, duration, coaches, price, and availability.
Paste a public HTTPS checkout URL from Stripe, Square, PayPal or your facility — never secret keys or passwords.
Share the GolfCoachOS public package link so purchase requests are recorded; the external payment link is only for checkout.
Review purchaser and player details, payment status, and player matching from Schedule → Packages → Purchases.
Do not confirm because someone clicked the payment link — verify the charge in your provider first. Confirmation activates credits and is not a payment receipt.
Credits activate after payment confirmation (or complimentary approval) and a correct player link. GolfCoachOS never auto-merges public registrations.
On the booking form, choose Use Package Credit for an eligible active balance. Confirmed bookings reserve one credit; completion marks it used.
GolfCoachOS tracks restore vs forfeit decisions. Your package or academy policy decides what should happen — do not assume forfeiture without a policy.
Authorized staff can add, restore or remove credits with a required reason. Every change creates a permanent ledger entry.
GolfCoachOS cannot issue or verify refunds. Process refunds in your provider, then mark Refunded Externally and review credits.
